Trial, billing & cancellation

This page covers the lifecycle of a Saiku Cloud subscription — what happens when you start a trial, when your card is charged, what happens if a charge fails, and how to cancel.

The 14-day free trial

Every Saiku Cloud plan begins with a 14-day free trial. You can use every feature in your chosen tier during the trial, no restrictions.

What you’ll see during the trial

A banner across the top of the dashboard shows how many days remain:

  • More than 7 days left — gentle blue reminder.
  • 7 days or fewer — amber banner with an “Add payment method” prompt.
  • Last day — red final-call banner.

When you’re ready to continue, click Add payment method on the banner or visit the Billing page directly. You’ll be sent to Stripe’s hosted Checkout to enter a card.

What happens at day 14

Two outcomes:

  • Card on file → you continue. Your card is charged the tier price. The dashboard shows “Status: active” on the Billing page. Subscription renews monthly until cancelled.
  • No card on file → service pauses. Your tenant drops to the free / pre-billing surface. Your data isn’t deleted — schemas, workbooks, and uploads all stay where they are — but you can’t access them through the dashboard until you resubscribe.

To resume access, sign back in and complete a new Checkout from the Billing page. Your previous schemas and connections appear again once your subscription is active.

Failed payments (dunning)

If a renewal charge fails (expired card, insufficient funds, fraud hold), Stripe automatically retries the card on your behalf over the next 21 days. While retries are in flight:

  • Your service stays up — we don’t lock you out during the retry window.
  • A persistent amber banner appears on every dashboard page: “Payment failed. Update your payment method to keep your subscription active.”
  • Clicking the banner takes you to the Stripe Customer Portal where you can update your card.

If all retries fail, your subscription cancels automatically. You’re notified by email at each retry attempt and at final cancellation.

Cancelling your subscription

  1. Open the Billing page from the dashboard sidebar.
  2. Click Manage in Stripe Portal. You’ll be sent to Stripe’s hosted page.
  3. In the Portal, click Cancel plan. You’ll be asked whether to cancel at the end of your current billing period (recommended — you keep service until the period ends) or cancel immediately.
  4. Confirm. Your subscription is now scheduled to end; you can reverse the cancellation from the Portal at any time before the period ends.

After cancellation:

  • Your access ends at the period end (or immediately if you chose immediate cancellation).
  • Your tenant drops to the free / pre-billing surface — schemas, workbooks, uploads, and members all remain in place.
  • You can resubscribe at any time. Re-running Checkout reactivates your tenant with the same schemas + members intact.

Changing plans

To upgrade or downgrade, open the Stripe Customer Portal from the Billing page and pick a new plan. Stripe prorates the difference automatically — you pay the partial difference on upgrade, get a credit on downgrade.

Invoices and receipts

All invoices live in the Stripe Customer Portal. From the Billing page, click Manage in Stripe PortalInvoices. You can download PDFs or set up automatic invoice email delivery.

Tax IDs (VAT, GST)

Stripe Checkout asks for your business name and tax ID when appropriate. The tax ID is stored on your Stripe customer profile and appears on every invoice. To update it after the fact, use the Customer Portal.
